Adapt Your Event

Social distancing and the age of Covid has taught us many things. For one, it taught us that human beings need connection. And as an agency that has specialized in event management for over 20 years, TAG has taken this opportunity to focus on how we can continue connecting through online/virtual events.

The team at TAG began working from home and moved operations online in mid-March but what you might not know, is that TAG has operated with team members working digitally for more than 12 years. We were very early adopters and have learned a thing or two about digital relationships that we are now employing to connect our event clients with online/virtual event opportunities.
Here’s what we know:

Decide ‘How’.

As you begin planning your digital-forward event, you must consider how you’re going to reach your audience while ensuring the safety of your attendees. Understanding your content and who needs to know what, becomes increasingly important as you move your event online. It may be beneficial to split up audiences and make sessions smaller to focus on certain subjects and increase interaction. While for a large gathering, it may be more important to record the session to allow playback for people when it’s convenient for them.

Adjust to the format.

While you adapt your production strategy by moving online, presenters will need to do the same. Many presenters are accustomed to speaking and projecting their presence when in front of the room, but now, it’s about filling the computer screen. Presenters need to tune in and be more present and engaging with the audience through the camera. Maintaining a feeling of authenticity is paramount to keeping your audience engaged while in a digital landscape. And this is something that we’re all learning how to do, even our favourite late-night hosts who have been broadcasting from inside their homes.

Not only is it important to adapt to the format, you’ll need to adapt your success metrics. Event metrics like customer feedback and takeaways count but so too do digital metrics like page views and downloads.

Audiences want to connect.

Even in a digital world, people want to feel connected – connected to your content, your business and to each other. Allow presentations to be conversational allowing attendees to engage with presenters and each other. Having a moderator encourage real-time feedback and participation could help foster this type of open communication. Connect attendees through social communities before, after, and during your event to help build conversation from pre-event to post-event wrap.

At TAG, we understand that the value of connection remains and that your online event will serve as an important checkpoint in the customer journey. All it takes is a shift in your strategy and a knowledgeable team by your side.
