We are looking for a highly organized, proactive Executive Assistant to support leadership, coordinate internal operations, and help ensure the smooth day-to-day functioning of the office.
Everyday Details
Executive & Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments for leadership
- Monitor and manage inbox communications, including prioritizing, flagging, and responding where appropriate
- Prepare and organize documents, reports, and meeting materials
- Prepare briefs, housekeeping notes, and meeting minutes
- Take meeting notes and track action items, follow-ups, and resolutions
- Maintain organized records, files, and internal documentation
- Support office operations including supplies, logistics, and administrative systems
- Provide support across projects where additional coordination is needed
Client & Communication Support
- Monitor and respond to general office and association email inboxes, ensuring timely and professional communication
- Act as a first point of contact for client inquiries and direct requests to the appropriate team members
- Assist in maintaining client documentation, records, and communication logs
- Support coordination of meetings, calls, and materials between clients and internal teams
- Coordinate across teams to ensure tasks, deadlines, and priorities are aligned
- Support preparation of presentations, proposals, and client-facing materials

Your Credentials
- Post-secondary education in business, administration, communications, or a related field
- 1–3 years of experience in administrative, executive support, or coordination roles
- Experience working with First Nations is a great asset
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- High attention to detail and ability to manage information, documents, and schedules accurately
- Comfortable handling email communication and acting as a point of contact for inquiries
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
- Proactive, reliable, and able to anticipate needs and take initiative
- Ability to work in a fast-paced environment and adapt to changing priorities
