We are looking for a Conference & Campaign Coordinator who will support the planning and delivery of conferences, campaigns, and execution. Our conferences go beyond just event planning, we help our clients reach their strategic goals through conferences.
This is a hands-on role for someone who is organized, proactive, and comfortable managing multiple moving pieces at once. You’ll be working across internal teams, clients, and partners to help turn plans into real, well-executed experiences.
Everyday Details:
Conference Coordination & Execution
- Coordinate event logistics including venues, vendors, travel, accommodations, and on-site requirements
- Maintain and track event timelines, task lists, and key milestones
- Communicate with the board of directors, internal teams, and various target markets
- Manage attendee communications, registrations, and RSVP tracking
- Create, maintain, and report on event budgeting
- Support the development of event materials and documentation (agendas, housekeeping notes, briefing notes, etc.)
- Coordinate with internal teams, partners, and vendors to ensure smooth execution
- Provide on-site and/or virtual event support, including troubleshooting and real-time coordination
- Support post-event wrap-up including feedback collection, reporting, and asset organization
Marketing & Campaign Support
- Support the creation and editing of content for social media, email campaigns, newsletters, websites, and other marketing assets
- Assist in the execution of digital marketing campaigns across email, paid media, and organic channels
- Create, schedule, and manage content using platforms such as Meta Business Suite, Hootsuite, or similar tools
- Track campaign performance and assist with basic reporting on engagement, reach, and main KPIs
- Support content capture at events (photo, video, testimonials) and help organize marketing assets
Coordination & Operations
- Maintain campaign calendars, event schedules, and project timelines
- Ensure deliverables stay on track across multiple projects
- Coordinate across internal teams (strategy, design, leadership) to support execution
- Assist with client-facing materials, including formatting presentations, proofreading, and document preparation
- Adapt to shifting priorities and support problem-solving in fast-paced project environments
Your Credentials:
- Post-secondary education in marketing, communications, event management, business, or a related field
- 1–3 years of experience in event coordination, marketing, or similar roles
- Experience of working with First Nations is a great asset
- Strong organizational and time management skills, with the ability to manage multiple projects and deadlines simultaneously
- High attention to detail and ability to track tasks, timelines, and moving pieces without things falling through the cracks
- Experience supporting or executing events (in-person or virtual) is strongly preferred
- Comfortable coordinating with vendors, partners, and internal teams
- Strong written and verbal communication skills for both internal coordination and external communications
- Familiarity with marketing tools and platforms (e.g., social media scheduling tools, email marketing platforms) is an asset
- Ability to adapt quickly, problem-solve, and stay organized in fast-paced environments
- Proactive, reliable, and comfortable taking ownership of tasks while working as part of a team
